Intake

How do I schedule a first appointment?

A member of our team will assist you in finding a therapist who is the best fit for your needs, and schedule your first appointment as well as gather all necessary information. You will be provided with the necessary paperwork to ensure you will be all set for your first appointment.

How long are the sessions?

A typical session runs for 53 minutes, beginning on the hour.

What to expect in the 1st session?

In the first session, the clinician’s main goal will be to gather information about your concerns and develop some treatment goals. This is a time to get to know a little bit about the therapist to ensure they are a good fit, and for your therapist to get to know you. Generally, the therapist will be looking to gather information as to what brought you to therapy and how they can best assist you in reaching your goals.

Insurance/Billing

Do you accept insurance?

We are an in-network provider for BCBS PPO, BCBS Community, Aetna, Optum-UBH / United Healthcare, Medicare, Cigna, and self -pay. If you are out of network, we will provide you with a statement including the information you will need to obtain reimbursement from your insurance carrier. However, we cannot guarantee reimbursement. This is at the sole discretion of your insurance provider.

How do I know how much I will be charged for services?

If you are using Insurance, our Benefits team will verify your coverage and provide an estimate of your out-of-pocket costs per session. This is only an estimate, and we always recommend speaking with your insurance to verify.

Self-pay rates are $210 for the initial Intake Session and $175 for follow-up sessions.

What types of payment do you accept?

A credit card will be kept on file for out-of-pocket expenses.

When will payment be expected for services and when will my credit card be charged?

We will process payment to your credit card on file the following day after the appointment occurred. Your card will be charged the co-pay, co-insurance, or self-pay rate, depending on your situation.

Where can I see my account information, statements, and receipts?

Clients can access receipts/statements via the Therapy Notes client portal. If you need help logging in, please call us at (630) 281-2496.

General Therapy Questions

How long does therapy typically last?

The duration of therapy varies depending on the individual’s needs and goals. Some clients may benefit from short-term therapy, while others may require longer-term support. We work collaboratively with you to set goals, monitor progress, and adjust the treatment plan as needed, ensuring a flexible and responsive approach to your mental health journey.

What types of issues do you treat?

Our practice specializes in treating: Anxiety and Depression, Trauma and PTSD, Relationship Issues, Life Transitions, Substance Abuse, Grief & Loss, Eating Disorders, and Postpartum Concerns.

What happens in therapy?

When you first come to therapy you will have completed our Intake paperwork and the therapist will go over any questions and discuss our policies. The first session is a “get to know you” session where the client will be able to express where they are at and any goals for treatment. In the next few sessions, we will continue identifying needs and developing strengths to build on. We will be collaborating to develop objectives for treatment working towards a specific goal in mind. The therapist will continue to work on developing and refining these skills to help the client achieve their highest self.

How often will we meet?

Treatment frequency is determined by your individual needs and goals. Typically, we begin with weekly sessions and adjust as progress is made. The best treatment outcomes are typically seen with a minimum of 8 sessions and weekly or bi-weekly appointments.

Can a parent accompany their child for sessions?

Most therapists allow parents for the first 15 minutes and then spend the next 30 minutes with the child – the last 15 minutes the parent can join again if this is something the therapist and parent believe would be beneficial.

How do I get to your office?

Naperville Location:  1979 N Mill Street, Suite 105, Naperville, IL 60563. If you are coming from I-88, our office is in between the Winfield exit and the Naperville exit off of Diehl Rd.

Do you provide teletherapy?

Yes, we do. Teletherapy goes by many names, including TeleHealth, online counseling, and video therapy. Whatever name you call it, these virtual counseling services allow us to keep up your therapy sessions or offer counseling visits for new clients even when you can’t make it into the office.

We do everything we can to create a comfortable, relaxed, supportive environment for your online therapy sessions. We know it may feel a little different at first, but many people find they feel more relaxed talking to us from their own homes. Best of all, there’s no need to miss a session if you’re out of town, sheltering-in-place, or you can’t fit regular visits into your schedule.

Rescheduling/Cancellation

How do I cancel or reschedule my appointments?

Please reach out to your therapist to cancel or reschedule your appointment. The preferred method of contact is via text message utilizing our Spruce app for a secure message or via email directly to your therapist.

You can also reach out to our main line at (630) 281-2496, however, please note that the therapist may not get the message until administrative staff retrieve the message M-F between 8 and 5 p.m.

What is your cancellation policy?

We have a 24-hour cancellation policy. If you do not cancel a session prior to 24 hours of your scheduled appointment, you will be charged $100.00 (flat fee) for the session. This is charged to the client, not the insurance company.

Late cancellations and no-shows prevent other clients from accessing care during that time slot. We maintain this policy because therapy is most effective with consistent attendance and mutual commitment, helping us provide reliable mental health services while reserving quality time specifically for your care.

Privacy & Confidentiality

Is therapy confidential?

Yes, all sessions are confidential with certain legal exceptions to include: risk of harm to self or others, suspected abuse of children or vulnerable adults, court orders or subpoenas, and insurance billing requirements (diagnosis only).

How do you protect my privacy?

We maintain HIPAA compliance through:

  • Secure electronic health records
  • Encrypted video platforms for telehealth
  • Private office spaces
  • Strict confidentiality policies

Emergency Protocol

What if I have an emergency or call after hours?

We answer and receive messages during our normal business hours of 8 a.m. to 5 p.m. (Monday – Friday) and will respond within 1 business day. Should you call outside of normal business hours, please allow 48 hours for a return phone call. If you are experiencing a life-threatening emergency, please dial 911 or go to the nearest emergency room.

Counseling Associates

What is a Counseling Associate at Counseling Works?

They have earned a bachelor’s degree and are currently enrolled in a CACREP-accredited master’s counseling program. They have completed the majority of their course work, and sometimes even a practicum experience.

What are the benefits of working with a Counseling Associate?

  • Numerous resources at their disposal: As Counseling Associates are still in school, they are learning the most up-to-date training in the profession. They also receive a plethora of supervision (both on site at Counseling Works and at their university).
  • Drive & Excitement: Counseling Associates have been training for years for the opportunity to start seeing clients. They are excited and eager to begin helping you achieve your goals.
  • Smaller Client-Loads: Counseling Associates work with a smaller number of clients per week. This allows them to dedicate more time to planning for your treatment and care.
  • Possibility of Reduced Rates: Counseling Associates are able to see clients on a sliding scale if clients do not have insurance or are not in network with Counseling Works.

Why does my Counseling Associate want to record sessions?

As a Counselor-in-Development, they are still working on enhancing their clinical skills. Recording sessions allows them to listen back to the session and identify areas where they have done well and things that they can do better in the future. The purpose of the recording is to listen to what the Counseling Associate is saying and doing, not the client. The recordings are confidential and are stored in a HIPAA compliant manner.

What type of supervision do they receive?

As they are still in school, they are learning the most up-to-date training in the profession. They also receive a plethora of supervision (both on site at Counseling Works and at their university).

Will their supervisor be in session with me as well?

No, supervisors are not in session with the Counseling Associates. Sessions are 1:1 with your assigned CA.
